Individual's Migration Experience
The typical migration process for a Rice faculty or staff member takes four weeks from initial notice to concluding survey. Training guides and technical support are available during all phases of the migration.
Week 1
- Individual receives communication about migration including their upcoming migration date and link to resources about changes and how to work with Gmail. Via an online survey, individuals can opt for a migration date two weeks later as well as ask questions about the process.
- Existing large email messages (over 25 MB) on Cyrus are downloaded to the individual's Box account. Large messages can't be migrated to Gmail so OIT is copying them to Box for the individual's convenience.
Week 2
- Preliminary migration of the Cyrus Mailbox to Gmail is completed by OIT.
- Individual receives reminder notice including encouragement to read training materials.
- Individuals can receive support via remote or in-person sessions and attend online training on Gmail.
Week 3
- Tuesday at 10:25 am, individual's email home will be switched to Gmail. Access to Cyrus email is still available but no new messages will be received on Cyrus (allowing individuals a few days to adjust).
- OIT will complete a final sync of mailboxes so that individual's new mail home on Gmail contains all recent email messages.
- Individuals can receive support via remote or in-person sessions and attend online training on Gmail.
Week 4
- Access to Cyrus email is discontinued. Individual can only access email via Gmail.
- Individuals can receive support via remote or in-person sessions and attend online training on Gmail.
- A survey is sent to individuals to help evaluate customer satisfaction with the migration process.
